Personal Data

The North East Sling Library will never share your data without your expressed permission and this will only be in exceptional circumstances (for example, sending replacement carrier direct from manufacturer or in event of police or small court involvement.)

By hiring from NESL, you agree that we may store your data (name, address, email, phone, credit/debit) electronically via MyTurn. For consultation clients, we will store your details via GoogleDrive and Bookedin or Square Appointments. You agree that we may use these details to contact your regarding your loan, session cancellations or other exceptional circumstances. We may contact your via email, phone (call or text) and post.

NESL loans

By hiring a sling or accessory from North East Sling Library you agree to our terms and conditions. You are agree to the following:

1. I agree I will return by the date stated with all accessories and instructions (if given). If I cannot attend I will contact sling library before return date. I am aware that sling hire extensions will not always be possible, especially with "summer slings" or "occasion slings".
2. I will not wash the carrier unless I have asked for specific instructions from the sling library first.
3. I accept that I will be liable for replacement/cost of repair if I return carrier damaged or in a condition which means it is not hireable.
4. I accept I will return on due date, otherwise will be required to pay £1/day (max £5/ week) late fees. These will be taken automatically for those with card details or GoCardess stored. For cash hires, proof of address may be requested and late fees will be invoiced.
5. If I fail to return sling and after NE Sling Library has contacted me, I am aware my details may be passed to police/small claims court in the event sling is not returned.
6. I will not smoke while using this carrier or near the carrier.
7. I will adhere to the instructions provided (electronically when checking out) at all times. All carriers are extremely safe when used properly, however misuse can cause injury to yourself or child. It is your responsibility to ensure that you are using the carrier correctly and that your baby is safe at all times. The North East Sling Library cannot be held responsible for any accident that results in injury or death whilst the carrier is in your care.
8. All slings, carriers, instructions and accessories remain the property of Rachel or the North East Sling Library at all times, and all loans are subject to availability and our discretion. Rachel has put some of her personal collection into the Library Catalogue; these slings may be removed when replacements have been found.
9. If I cannot attend library drop in I will return the carrier by fully tracked postage method (Special Delivery) to: Rachel Coy, The North East Sling Library, 13 Brecken Way, Meadowfield, Durham, DH7 8UZ. It can also be returned 24/7 via the secure parcel drop box at the same address (attached to side of the garage). As per points 1 and 4 of these terms, I will be liable for late fees if I have not notified the sling library in advance.

Privacy Policy

This policy sets out how the Coy Consultancy Services Limited (Company Number 11574250) under the trading name of the North East Sling Library (now referred to as NESL) uses and protects the information that you give us, whether this is using this website, video call, email/ social media or in person.

Who are we?

​

NESL is a sling library providing support and advice to parents in the North East (and across the country via postal hire/ online support) when they are looking at different types of baby carriers. We offer support in person at drop in sessions, video call, email and online via Social Media platforms. We are owned by Martin and Rachel Coy but work with a team of trained consultants and peer supporters in order to provide our support services to you. We are registered with Information Commissioners Office (Registration Number ZA912398).

 

What information do we collect about you?

NESL is committed to ensuring that your privacy is protected but we do collect data from users who use our services. The data we collect is used only so that we can provide you with the appropriate level of support and service, and to process your hire.

We currently collect the following data in order to process sling hire:

·    Address

·    Contact phone number

·    Contact email address

·    Credit/debit card for customers paying by card.

 

We use MyTurn to log all hires. We use Stripe as our credit card processer and GoCardless as a direct debit processer.  We also offer contactless, and card payments via Square. Paypal and Xero may be used for invoices. For accounting purposes, we use Xero and an accountant to file tax.  All websites are password protected and secure. We cannot see any personal financial information.   Only official sling library admin can access MyTurn to view personal information. This may be accessed in event we need to contact you in an emergency or regarding your sling hire. PayPal payments are processed by PayPal. BACS payments are via our company (Coy Consutling Services Limited) bank account (Starling).

Until 16th August 2022, we used Bookedin.com for consultation bookings and ask for name, address, email and phone number in order to contact you to discuss needs of appointment. From 17th August 2022 we have moved to Square Appointments. You will be sent booking confirmation by email and text from them. You may be provided with a link to Google Doc questionnaire. This is password protected with two factor identification and only used in order to provide appropriate level of care and support.

We use Text Now ( and the mobile phone (ending 664) to send text messages regarding sling hire (non-return/extension/emergency contact). Email contact is sent from Rachel@ or info@northeastslinglibrary.co.uk. All email correspondence is password protected.

 

We may also ask for the following details, in order that we can ensure the carrier is appropriate and safe for you to use. We do not share these details with Third Parties.

·    Childs name

·    Childs DOB

·    Medical conditions which may affect how you or your baby can use a carrier

·    Complications from pregnancy or birth

·    Premature birth

 

In person at our sessions, we ask families to sign in on arrival providing same details as above. These are used only for the duration of the session and retained for 14 days before being shredded in the case we need to contact families who did not hire. For example, under our obligations to notify users of outbreaks of any contagious diseases. At present, we do not offer drop in sessions.​

How do we gather your information?

We gather your information from several sources but it is only held for legitimate business purposes in order to provide you with appropriate service and is only used for the situation intended.

·    Face to face contact

·    Over the phone

·    Sign in sheets at meets

·    Via personal message on social media (including but not limited to Twitter, Instagram, Facebook) including messages sent to our private rather than official business pages when specifically sent requesting support with carrier or to hire.

·    If you comment on our social media posts (this makes your name public to those who look at the page).

·    Incoming email

·    Pre-consultation questionnaire (Google Drive)

·    Website usage information is collected using cookies.

·    Newsletter via MailChimp (GDPR compliant sign up)

·    Photo and video of library sessions, consults, events and workshops

We will never use MyTurn client list for marketing purposes. We will only send marketing emails via those who have signed up via our MailChimp Sign Up form (can unsubscribe at any time by clicking link or emailing ). 

 

How do we use your information?

We use your information only for the purposes it was given. We collect information about you so that we can process your hire (instructions are sent via email) and orders, manage your account (process reservations, hires, update your details), and if you agree, to provide details to changes to our services or products we think may be of interest to you.

The information we hold is held to allow us to comply with our legal requirements and pursue the legitimate interests of NESL, and protect our legal position in the event of legal proceedings. If you do not provide this data, we may be unable to comply with our legal obligations and we will inform you of the implications of this data.

We will only share your data with your expressed permission – in order to send sling direct from manufacturer/wholesaler for example when we use drop ship methods of ordering or for replacements under warranty. We will never sell or share data for marketing purposes. For tax purposes, details of income are shared with our accountant. This includes names but not addresses, telephone numbers, email addresses or financial details, and are shared only for our legal obligations to pay corporation tax.

By hiring from us, you agree to our terms and conditions. These do state we will, if sling is not returned and after repeated attempts to contact you, notify police and or small claims court. By using our services, you are agreeing that we can share your data under these circumstances.

If in the future, we wish to process your date for a purpose other than that for which it was collected, we will provide you with information on the purpose and request your permission to use it.

Marketing

​

We will only send marketing emails (via Mailchimp) to those who have signed up to receive marketing information. If you have consented to receive marketing emails regarding our products and services, you have the right to remove this consent at any time. If you no longer wish to be contacted for marketing purposes, you can click ‘unsubscribe’ in any of our marketing emails or email us directly at .

Cookies

Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour. This information is used to track visitor use of our website. You can set your own computer browser to not allow cookies however some elements of website may not work.

You may also ask us to correct or remove some or all your information. You also have the right to complain if you feel we have not complied with regulations.

We will give you the information you have requested within 14 days and in event of account deletion, within 7 days.

For tax and insurance purposes, we are required to retain certain details for up to 7 years but this shall be stored securely.
